Lesson scheduling via EPP allows worksite users to:
- manually and automatically schedule a Damstra Learning lesson to an employee or group of employees as part of their worksite compliance or onboarding requirement
- control and configure which lessons show to their contracting companies for online scheduling
- track edits to the lesson scheduling menu
The Lesson scheduling page can be accessed via the left-sided navigation by clicking (1) Learning Management > (2) Lesson scheduling menu item.
The Lesson scheduling page has 4 sections:
- Schedule lessons
- Automatic scheduling rules
- Company lessons
- Change History
1. Schedule lessons
This section allows level 3 users to immediately schedule Damstra Learning lessons to individuals or groups of employees to complete.
To schedule a lesson immediately:
- Go to the Schedule lessons tab in Lesson scheduling menu
- Select a lesson or multiple lessons to schedule
- Select the scheduling option
- Select employees to schedule to - users may select multiple options from the list
- To individual employees - select employee/s from the employee dropdown list
- To employees in specific companies - select company/s from the company dropdown list
- To employees in specific job titles - select job title/s from the job title dropdown list
- To employees in specific crews - select crew/s from the crew dropdown list
- To employees in specific department - select department/s from the department dropdown list
- To employees in specific skills - select skill/s and the skill level/s from the dropdown list
- To individual employees - select employee/s from the employee dropdown list

Bulk upload employee IDs to schedule to - users may download the template provided, enter the employee ID in the spreadsheet, and upload the file.
4. If one or more of the employees selected have already completed the lesson, an alert will display as well as the ‘Scheduling options’ – you can choose to schedule the lesson again or not.
- Don't schedule lessons if the employee has already completed them
- Schedule all selected lessons to all selected employees
5. Enter a value in the complete within field (default is 14 days)

2. Automatic scheduling rules
Permissions and Access
Level 3 users can grant scheduling and automatic scheduling rule functionalities to users by assigning the permissions in the (1) System Settings under (2) User Login Accounts.
In the User login accounts page, select a user then choose (1) Permissions and access > (2) Learning management > tick the box for (3) ‘Schedule lessons and manage automatic scheduling rules’.
Automatic schedule rules
Automatic schedule rules allow users to automate lesson scheduling for a variety of conditions. The automatic scheduling rules page provides a register of all the automatic scheduling rules that have been previously created. It displays which lessons have rules in place, what rules (can have multiple rules) and conditions were applied, and the grace period for completing the lesson.
There are 7 automatic scheduling rules:
- New user rule
- Group rule
- Lesson completed rule
- Recurring schedule rule
- Failed rule
- Skill level changed rule
- Skill expiry rule
Create an automatic scheduling rule
Create a new automatic schedule rule by selecting and selecting a rule from the dropdown list then follow the prompt.

New user rule: Automatically schedules a lesson for new users upon addition to the system. This is useful for general, company-wide training.

Group rule: Schedule lessons for existing members of specific groups (company, job title, crew, etc.). Users may select a combination of groups.

Recurring schedule rule: Reschedules lessons periodically (e.g., annual safety training). This rule needs an initial ‘triggering’ rule (e.g., new user rule) to activate the recurring scheduling.

Lesson completed rule: Creates a learning pathway by scheduling subsequent lessons after the completion of previous ones.

Failed lesson rule: Reschedules a lesson if a learner fails a test within it. Users may limit the attempts allowed.

Skill level changed rule: Reschedules a lesson if the skill level against a completed record on an employee record changes, e.g. from Compentent to Not yet competent
Note: This rule will not change the skill level (e.g. from Not yet competent to Competent) after the employee has completed the rescheduled lesson. To change the skill level, go to the employee profile > skill records> select the skill > edit skill level. -
Skill expiry rule: Schedules a lesson to employees who have an expiring or expired skill on their profile. This rule needs an initial ‘triggering’ rule (e.g., new user rule) to activate the automatic scheduling when skill expires.
Delete an automatic schedule rule
To delete an automatic schedule rule, select and follow the prompt.
Edit an automatic schedule rule
To edit an automatic schedule rule, select and follow the prompt.
3. Company lessons
Company lessons allows worksite users to manage which of their published Damstra Learning lessons companies can schedule to their employees via their Company EPP. By default, all companies can schedule all lessons to employees.
To manage the company lessons:
- Go to the Company lessons tab
- Select
accross the lesson
- Edit the permission by selecting no companies, all companies, or select companies that can register employees for the lesson
- Click
and you've just edited the company permission
- The confirmation message will pop up on the upper right-hand side of the screen
4. Change history
The change history tab lists all the changes made in lesson scheduling menu with time stamp, changes made, and the name of the user who made a change.
Go to Change history tab in Lesson scheduling menu to view the lesson scheduling change history.
