Mobilise an existing employee refers to the process of inducting an existing employee through your company portal. This is the process where you can select a specific worksite where the employee will be working and assign the role/job title they will be performing on-site. This is also the time when you can submit the requirements needed for his role to ensure the employee is competent enough to perform their role on-site.
To access this feature, from the left side menu select Workforce management → Mobilise an employee.
Another way to access this feature is from your Home page → Employee mobilisations in progress → Mobilise an employee.
1. Begin mobilisation
To begin mobilisation select existing employees and the worksite they are being mobilised for then hit the Next button.
2. Complete requirements.
All requirements can be completed concurrently.
- Employee details – check employee details to ensure they are up to date. Click the Edit button if there are details that need to be updated. Click Details are correct if all information is up to date.
Click the Forward button if you are sending this to the employee for them to complete.

Preferred session
- Only required / visible for face-to-face mobilisations
- The selected session date will determine the requirements needed to complete the request.

Job titles, roles and tasks
- select ALL relevant job titles, roles, tasks and related qualifications.
- Employee requirements
These are the documents and information the worksite requires to prove employees are competent in their roles. Previously supplied documents that meet date requirements/rules will not need to be resupplied.

- the requirement will collapse once supplied and all required criteria are met.
- error messages will show where requirement criteria are not met.

to edit the requirement before sending it for verification.
- click Forward all incomplete or Forward button if you are sending these to the employee for them to complete.
- Complete the Employee Questionnaire - this will only occur if the first-time worker/employee will be working for the selected site as is only done once.

Additional Documentation
The upload additional documents feature enables company administrators to upload any skills or qualifications that have not previously been supplied and are not listed as a requirement of the mobilisation or selected job titles. -
Employee online training
These are the lessons the worksite requires the employee to complete for this mobilisation. This section will only be visible if the selected worksite requires online training.

- If the employee has already completed the lesson, there will be nothing further to do. If they have not completed the lesson, they'll be emailed a link to do so after this request has been sent for verification.
- These don’t need to be completed to send this mobilization.
3. Once all required mobilisation requirement sections are marked as:
- Click
to complete the mobilisation request.
- Complete payment details and confirm you agree to the terms and conditions.
- Email Notification - this is an additional email address for notification for this request if you want the employee or anybody within your company to be notified regarding this request. This is optional.
- Click the
button once all is complete.
- The Mobilisation request will be reviewed and verified and this process will be completed within 24 hours at the most, but often it will be less.
The Portal will also give you the option to make payment in Bulk if you have another request that has not yet been sent for approval or begin a new request with the same worksite and the same tax region.
